The Product Group Editing program is a great way to change a field (or multiple fields) for many products simultaneously. For example (a far-fetched one, but it will suffice), maybe you want to change all Accounting Categories for books written by Dean Koontz. Rather than going into the Product Properties for each Koontz book to make this change, you can, instead, make one global change here in the Product Group Editing program, and all Accounting Categories for the books you selected will be changed simultaneously. This is a convenience tool, and a good timesaving device.
To access the Product Group Editing program:
From the [i] Merchant Main Menu, select Tools-Administration-Database Management-Global Edits-Globally Edit Products. This calls up the Find Product for Global Editing window.
From this screen, select the list of products for which you want to make a global edit. For information on how to find products, please click here.
Once you've run your search, a list of products will appear in the grid at the bottom of the screen. You can either edit all of the products in the list or you can highlight a select few and edit those.
With the desired products highlighted (or if you want to edit all of the products in the list), click on the Global Edit toolbar icon. This calls up a dialogue box, which asks whether or not you want to edit all of the products in the list or just the products you have highlighted. Press Yes if you want to edit the entire list, and No if you only want to edit the products you have highlighted.
Once you make the selection that determines which products you want to edit, the Global edit - Select properties to change window appears. This is where you will determine what fields to globally change for the selected products.
The window displays a list of fields, beneath the heading "Select properties." Simply place a check mark in the boxes to the left of the fields you want to change for the selected products. Scroll through the list until you find (and check) all of the fields you want to edit.
Once you have checked the desired fields, click on the "Next - Enter new values for fields selected" button at the bottom of the window. (If you click on "Quit - exit the global editing process" button, you will close out of the window without having done anything.)
This calls up the Global edit - Enter values to assign window. This is where you will assign values to the fields you want to edit. Whichever fields you checked back at the last window will appear here. Simply choose what values you want to assign to these fields for the selected products. Some of these fields may be code-driven. Others may be free-form. Either way, select the appropriate values and/or codes for these fields.
Once you've assigned the appropriate values for the fields, and you are ready to do the global edit, click on the "Next - Update records selected" button at the bottom of the screen. (Clicking on the "Previous - select fields to update" button will return you to the previous screen where you can redefine which fields you want to edit. Clicking on the "Quit - exit the global editing process" button will abort the process altogether.)
If you click on the "Next - Update records selected" button, a dialogue box will appear, informing you of the update you are about to perform. It asks if you want to proceed or not. If you do, click on "Yes." An Update Process box appears, letting you know that the changes are in progress. When it's finished, a new box will appear, and you simply need to click "OK."
That's it. The global edit has been done, and whatever changes you made will immediately take effect for the products you selected.
There is also a way to globally edit retail price. . . .
At the Find Product and Global Editing window, after running a search, highlight the desired products.
Click on the Retail Global Edit toolbar icon. This will call up the Global Edit - Retail window. In the upper portion of the window, select whether to edit all products in the grid back at the Find Product and Global Editing window, or whether to edit only the products you had highlighted. The lower portion of the window is where you determine how the retail price will be globally changed. . . .
There are three ways to edit the retail price for the selected products. You can change the price by a percentage amount; change it by a dollar amount; or apply a fixed retail price for all of the products you have selected.
If you want to change by percent, click on the circle beside the "Change by Percent" field. Two fields will appear--"Sell for % Off Retail" and "Round Price up to." In the "Sell for % Off Retail" field, simply key in a percentage. This percentage will represent a percentage off the retail price for all of the products you have selected. So, for example, if you choose 50% here, and one of the products selected has a retail price of $10.00, the adjusted retail price will be $5.00 (50% off of the original price of $10.00). If another product has a retail price of $20.00, the adjusted price would be $10.00 (50% off of the original $20.00), and so on. . . . The "Round Price up to" field has a pull-down menu. Simply select the option you want to use when an adjusted price needs to be rounded. . . .
The "Change by Dollar Amount" field will change the retail price of all selected products by the dollar amount you assign here. The first field under this option is a pull-down field. Simply select "Add" or "Subtract" from the submenu. This tells the system either to add a dollar amount to the existing retail price for all selected products, or to subtract it. In the next field, simply key in the dollar amount you want to add or subtract. . . .
"Apply a Fixed Price" calls up a single field. Simply key in a dollar amount here. This will be the new retail price for all of the selected products.
