Refunding a customer for an item they want to return is easy. There are two basic methods: locking the POS into refund mode first, before selecting an item, or simply selecting an item first and then just selecting to give the customer a refund for that one item, without setting the POS into refund mode as a whole.
Let's look at how to set the POS as a whole into refund mode first. . .
Prior to entering the item to be refunded, press the Refund Lock function key (default, F4) on your keyboard. Or, select the Refund Lock button from the POS Buttons section of the screen. This puts the POS in Refund mode. You will notice the Qty field in the upper (gray) portion of the screen now says, "Refund."
Scan or find the item to be refunded, the same way you would if entering an item to be sold. The price of the item will come in and display as a negative amount, since it is a refund.
Note:
For an item to be returned, it must have been purchased from a register within the store now accepting the return. For example, if an item was purchased in Store 2 but is attempting to be returned in Store 1, the system will not allow it to go through. It must be returned to the same store from which it was purchased--in this case, Store 2.
Scan or find any additional items to be refunded. Important: Once you press F4 (or select Refund Lock in the POS Buttons bar), the POS is locked in to Refund mode for the duration of the transaction UNTIL you manually select another mode. An easy way of doing this is to press the Refund Lock button again in the POS Buttons section of the screen. This will unlock the refund mode.
Also, if you select an item (by scanning it or finding it via a search), PRIOR to selecting F4 (default, Refund mode), or selecting Refund Lock in the POS Buttons bar, the system will not automatically go into Refund mode for this item.
Select the tender to give to the customer as a refund, and finish the transaction.
Or, if a customer just has one specific item to be refunded but wants to purchase other items, it is easy to refund just the one item without going into full-blown refund mode . . .
Scan or find the item to be refunded. The quantity will come in as 1.
With the item selected, either use the Function key for "Refund Item," if the key has been established, or click on "Refund Item" in the POS Buttons bar at the right of the screen, or select the Function Menu at the bottom right of the screen and then choose "Refund Item." This tells the system that it needs to issue a refund for just the one, selected item, and the price of the item will change over to a negative value. By doing it this way, you are not locking your POS into Refund mode--you are manually telling the system to give a refund for the item you just scanned in. When the next item is scanned, it will be a normal scan, as the system will not be in Refund mode.
