Quick Reports

The Quick Report option allows you to print a list in the display grid at the bottom of a Find window, as well as the Buying Manager, in its entirety, regardless of how long it is. For example, let us say you did a Find for all customers in your system with a last name that begins with the letter s. Likely, such a list would include hundreds of names, and it would not all fit in the display grid. In order to view the list, you would need to scroll through it. At any one time, only a small portion of the list would be visible on your computer screen. Therefore, printing the screen (File-Print Screen) would provide you with a printout that did not include the entire list.

With Quick Reports, the entire list will be printed.

With the list displayed in the display grid of the Find window (or Buying Manager), simply:

 

The List Report message box will have expanded features if Grouping is turned on for the Find list in question. If Grouping is turned on, the List Report message box will have the following features . . .

There will be three tabs near the top of the Quick Report window: "[i] Merchant Print," "Format," and "Settings." The window defaults to "[i] Merchant Print." The following fields exist beneath this tab. . .

The first field is a checkbox field--"Print Selected Items Only." If you had highlighted a portion of the records back on the Find screen, only these highlighted records would print if you check this box. If you leave unchecked, all records from the Find screen list will print.

In the first "Report Header" field, the name of the Find program you are in will automatically display (example, "Inventory Change Log"). But you can change this to be anything you want. Whatever you key in here will appear in the header of the report.

In the second field under "Report Header," your username will appear. This, too, will appear in the header of the report. You can also change this, if desired, to any name you want.

Under "Printer Options," there are three fields, where you select the Printer you will use to print the report, the Orientation (Landscape or Portrait), and the number of Copies to print.

When you are done filling in the fields for this screen, click on the second of the three tabs near the top of the window--"Format." This determines what Font you will use on the report (when you click on "Change Font," a Font window opens, where you can select what Font you want to use), what size the font should be, whether or not to print Grid Lines, and whether or not to print the report in color. It also gives you the option to enable wrapping, which means columns that are too far to the right will not bleed onto the next page. Rather, they will wrap underneath the columns that come before them.

The third tab--"Settings" determines whether you will print all of the pages for the report, or whether you will just print selected pages. Choose according to your needs for the print job.

The toolbar icons at the top of the window allow you to (in order): Preview what the report will look like when it is printed; Print the report; Save the report as a .csv file to a location on your PC; or Close out of the window without performing any function.
